This Privacy Policy explains how Cardinal Accounting LLC ("Cardinal," "we," "us") handles information submitted through this website, including our intake, scheduling, and contact forms. Information you provide after engaging us for services is also governed by your engagement letter and applicable professional obligations.
Information we collect
- Contact details: name, business name, email address, phone number, and website.
- Business and service information you choose to share in the intake, such as industry, entity count and types, approximate revenue and transaction volume, accounts, software used, and the services you are interested in.
- Appointment information: the consultation time you select and its status.
- Messages you send through the contact or intake forms.
- Source information: the marketing source and campaign tags (UTM parameters) and referring page associated with your visit, if present, and which intake steps were reached (without your answers).
- Basic technical information our hosting provider processes to deliver and secure the site, such as IP address and browser type, and request data used for rate limiting and abuse prevention.
Information we ask you not to submit
Do not submit Social Security numbers, EINs, bank or card details, passwords, tax returns, payroll reports, or other sensitive documents through this website. If you are engaged as a client, sensitive materials are exchanged through a secure, authenticated onboarding method.
How we use information
- To respond to your inquiry and evaluate whether and how we can help.
- To schedule consultations and send confirmations, reminders, and changes.
- To prepare proposals and, if engaged, provide services.
- To operate, maintain, and secure the website, including preventing spam and abuse.
- To understand which sources bring visitors to our intake.
- To comply with legal, regulatory, and professional obligations.
We do not sell your personal information.
Service providers
We share information with vendors that process it on our behalf, currently including website and cloud hosting and database providers, and Google Workspace (Calendar, Meet, and Gmail) for scheduling, meeting links, and email confirmations. We may also disclose information when required by law or to protect our rights and the security of our systems. If we add other providers (for example e-signature, payments, or a client portal), we will update this policy.
Cookies and analytics
We do not currently use advertising cookies or third-party analytics trackers. Your browser's session storage temporarily holds campaign tags from the page you arrived on so they can be attached to your intake. Sign-in for authorized staff uses browser storage to keep them signed in. If we add analytics or advertising tools, we will update this policy and provide any choices required by law.
Retention
We retain information as long as reasonably necessary to respond to your inquiry, provide services, maintain business records, protect security, and meet legal and professional obligations.
Security
We use reasonable administrative, technical, and organizational safeguards designed to protect information, including restricting access to authorized staff. No website or system can be guaranteed to be completely secure.
Third-party sites
Links to third-party sites or services are provided for convenience. Their privacy and security practices are governed by their own policies, which we encourage you to review.
Your choices and requests
You may ask to access, correct, or delete information you submitted by emailing contact@cardinalacc.com. Rights available to you depend on applicable law, and we may need to retain certain information for legal or professional reasons.
Children
This website is intended for business owners and is not directed to children.
Changes
We may update this policy and will post the revised version with a new date.
